xcircl (together with the xcircl iPhone app, the “Service”) is operated by xcircl LLC, a Delaware limited liability company (“xcircl,” “we,” “our,” or “us”). This Privacy Policy explains what information the Service collects from visitors, users, pet parents, and business owners; how that information is used and shared; and how to contact us with privacy requests. By using the Service you agree to this Policy.
The Service is directed to users located in the United States and is not intended for individuals in the European Economic Area, the United Kingdom, or any jurisdiction where the Service would be unlawful.
1. Scope
This Policy covers the xcircl website at xcircl.com, the landing site at app.xcircl.com, and the xcircl mobile application available on the Apple App Store (collectively, the “Service”). It does not apply to third-party websites, mobile apps, or services that the Service links to.
2. Information we collect on the website
- Form submissions. When you submit a claim, lead (consumer inquiry), or feedback form, we collect the information you provide, such as name, email address, phone number, business name, website, pet type, service needed, dates, and any notes or context you include.
- Account information. If you sign in through Firebase Authentication (Google, Apple, or email), we receive your email address, display name, Firebase UID, and profile photo URL if available. We store a WordPress user record linked to that identity.
- Subscription information. When a business owner upgrades to a paid plan (Featured $49/mo or Premium $299/mo), Stripe collects and processes payment card data. We receive a customer identifier, subscription status, and plan tier from Stripe, but we do not store card numbers.
- Usage and technical data. Server logs, browser details, IP address, request metadata, cookies set by WordPress and LiteSpeed Cache, and, if configured, aggregated analytics from Google Site Kit (Search Console and Google Analytics 4).
- Business directory data. Information about pet service businesses aggregated from publicly accessible business listings, owner-submitted corrections, and editorial review. Directory data about a business is not personal information about the visitor browsing the site.
3. Information we collect in the mobile app
The xcircl mobile app (iOS) collects a narrower set of information to power household-level pet care:
- Account and profile. Email, display name, and Firebase UID through Firebase Authentication.
- Household and pet data. Information you enter about your household, pets (name, species, breed, age, medications, vet contact), tasks, care logs, and caregivers. Stored in Google Firebase Firestore and Firebase Storage (photos).
- Subscription status. Managed through RevenueCat and the Apple App Store (for App Pro subscriptions at $4.99/mo).
- Device permissions you choose to grant. Camera and photo library (for pet photos), approximate location when in use (for nearby service search), push notification tokens (for reminders and updates). Each permission is requested with a clear purpose string and can be revoked in iOS Settings.
- Diagnostics. Anonymized crash logs and performance metrics through Firebase Crashlytics. Not linked to your identity for advertising.
The xcircl app does not use the Advertising Identifier (IDFA), does not show ads, and does not track your activity across other companies’ apps or websites.
4. How we use information
- To provide, maintain, and secure the Service, including hosting the directory, processing subscriptions, delivering push and email notifications, and preventing abuse.
- To route consumer inquiries submitted through lead forms to the corresponding business owner (see “Sharing with listed businesses” below).
- To review listing claim requests and verify business ownership before granting edit access.
- To respond to support, feedback, abuse, privacy, or legal requests.
- To debug, analyze, and improve Service quality (for example, fixing layout bugs on mobile devices or tuning directory search ranking).
5. Sharing with listed businesses
When you submit a consumer inquiry (lead form) on a listing page, we forward your name, email, phone, pet type, service needed, preferred date, and notes to the business owner by email so they can follow up. This is the core purpose of submitting a lead. By submitting a lead you authorize this forwarding. Business owners are expected to use the information only to respond to your inquiry, but xcircl does not control how a third-party business handles data it receives.
6. Third-party services we use
We use a small number of reputable third-party services to operate the Service. Each may receive a portion of the data described above to perform its function:
- Google Firebase (Authentication, Firestore, Cloud Functions, Cloud Messaging, Crashlytics, Storage) — identity, household data storage, push notifications, crash reporting.
- Stripe — payment processing and subscription management for website paid plans. Stripe is PCI-DSS compliant and handles card data directly.
- RevenueCat — subscription receipt validation and entitlement management for the iOS app.
- Apple Push Notification Service — delivery of push notifications to the iOS app.
- Hostinger — website hosting and server infrastructure.
- LiteSpeed Cache — page caching and performance optimization on the website.
- Google Site Kit (Search Console; optionally Google Analytics 4) — aggregated traffic and search reporting.
- Google Maps / OpenStreetMap — map display and geocoding on listing pages.
Each third-party service processes data under its own privacy terms. We share only the minimum data required for each service to function and we do not sell personal information.
7. Cookies and similar technologies
The website uses a small number of first-party cookies set by WordPress (session and authentication), LiteSpeed Cache (cache key routing), and, if enabled, Google Site Kit (aggregated analytics). Most pages do not set tracking cookies. You can control cookies through your browser settings. By continuing to use the Service you consent to the cookies described in this Policy.
8. Data retention
- Form submissions (claim, lead, feedback) are retained for up to 24 months, then archived or deleted unless a legal obligation requires longer retention.
- Account and subscription records are retained for the life of the account and for a reasonable period afterward (typically up to 7 years for tax and accounting purposes).
- Server logs are retained for approximately 90 days.
- Household, pet, task, and care-log data in the mobile app is retained until you delete it or close your account.
9. Your choices and rights
Subject to applicable law, you may request to access, correct, or delete personal information that xcircl holds about you. California residents have additional rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), including the right to know what personal information is collected, the right to request deletion, and the right to opt out of the sale or sharing of personal information. xcircl does not sell personal information.
To make a request, email support@xcircl.com with the subject line “Privacy Request” and tell us which right you are exercising. We may need to verify your identity before acting on a request. You will not be discriminated against for exercising your rights.
In the xcircl iPhone app, you can also delete your account in-app at any time from Me → Account → Delete Account. Deletion removes your Firebase identity and your household data from Firestore and Storage. If you have a paid subscription on the website, cancel first through your Stripe customer portal or by emailing us.
10. Security
We use HTTPS, signed webhooks, cryptographic token verification (RS256 for Firebase IDs, HMAC-SHA256 for Stripe webhooks), and standard hosting-level protections. No internet service is 100% secure; we encourage you to use strong, unique passwords and keep your devices updated.
11. Children
The Service is intended for adults seeking pet services or operating pet businesses. We do not knowingly collect personal information from children under 13 (or under 16 where applicable). If you believe a child has provided us information, contact us and we will delete it.
12. Changes to this Policy
We may update this Policy from time to time. When we do, we will update the “Last updated” date at the top and, where appropriate, notify users of material changes by email or in-app notice.
